The Project Coordinator position is a full-time salaried position that combines the role of an Executive Administrator (one who helps manage the schedules and communications of key company executives) with some of the duties of an Agency Traffic Manager (one who helps Project Managers communicate with clients and ensure on-time deliverables). A successful Project Coordinator should be able to quickly learn the varied needs of senior management and of our clients, and manage resources to effectively meet company and client goals.

 

Prior project management and/or executive assistance experience preferred but not required.

 

  Expectations:

  • Collaboration with the Project Director and Project Manager to delegate tasks and responsibilities.
  • Research and immersion into the specific and complex nature of individual clients, and the ability to make recommendations and directly contribute to the success of client projects.
  • Comfort and experience taking detailed notes in client meetings and internal team meetings, both virtually and in-person.
  • Creating and maintaining reports for projects, keeping track of hours spent on each project, and communicating with clients on the status of their available hours.
  • Assisting with new business development, including the identification of suitable opportunities, analyzing the needs of RFPs, and collaborating on the development and review of content for proposals.
  • Coordination with administrative staff on bookkeeping, estimate creation, and invoicing of client projects.
  • Managing the CEO’s calendar and assisting with incoming emails to assure nothing gets lost.


Microsoft Office experience is expected. Familiarity with CRM software, time-tracking, and other project management tools can be helpful.

 

Full-time position. Salaries are competitive and calculated with an internal formula that gives credit to education level, years in the field, unique variety of skills, and other factors.
