Payroll Specialist
The Payroll Specialist role at Diversified Maintenance is highly visible with responsibility for end to end processing of over 5,000 US employees (weekly, bi-weekly, semi-monthly, hourly, salaried, commissions, shift differentials). They will be responsible for timely responses to both internal and external partners who have questions regarding time cards, payments, and general payroll. The position is a part of the Payroll Operations Team and will work to foster collaboration and partnership both within the team and the organization by being a steward of our Core Values. The role involves adhering and enforcing payroll procedures, ensuring compliance with government reporting requirements, and facilitating critical cross-functional communication with other Shared Services and Operational functions to ensure success. This role reports directly to the Vice President of Payroll Operations and Strategy.
Responsibilities:
- Audit employee time and labor data and interact with supervisors as required to verify data and resolve discrepancies.
- Process payroll in a multi-state corporate environment. Calculate shift differentials and other pay based on assigned shifts and varying contractual requirements.
- Establish and ensure accuracy of federal, state, and local taxes, social security contributions, employee benefit contributions, fringe benefits, garnishments and other deductions of employee paychecks.
- Assist with balancing of payroll accounts by resolving payroll discrepancies.
- Analyze and respond to inquiries from employees regarding paycheck amounts, deductions, leave accruals, direct deposit, and other concerns.
- Processes garnishments and communicates garnishment information to all parties.
- Research and gather required documents to set up required tax accounts in new states where companies operate. Research payroll tax payments and data discrepancies with federal, state and local agencies, and work with tax agencies as well as internal staff for resolution.
- Liaison with UKG regarding payroll issues and cases.
- Pull various payroll reports from UKG Pro, including BI/People Analytics.
Qualifications:
- A minimum of 3 years payroll processing experience. Prefer experience in large, multi-state environment.
- UKG (Ultipro) and Payroll Training highly preferred. Experience with diverse timekeeping systems.
- Experience with year-end and W-2 form processing.
- Fundamental Payroll Certification (FPC) highly preferred.
- Excellent written and verbal communication.
- Ability to collaborate cross-functionally.
- Proficiency in software systems such as Google Suite and Microsoft.
- Multi-state payroll experience required.
- Experience processing payroll for large employee populations (5,000+ employees) preferred.
Location:
This role can be based in our Tampa or Birmingham office; 4 days in office, 1 day remote.
