Job Description
We are seeking a Legal Billing Coordinator to join our Finance team, reporting directly to the Finance Manager. In this role, you will be responsible for generating accurate and timely invoices for a designated group of attorneys on a monthly basis. You'll collaborate closely with attorneys to review and finalize proformas, ensuring the smooth processing of invoices to clients via electronic or postal submission. You'll also maintain critical client and matter details in the finance system (ProLaw), including updating addresses, rates, and invoice templates.
Key Responsibilities:
* Review and edit monthly proformas based on attorney instructions
* Ensure accuracy in billing and supporting documentation
* Generate and distribute invoices according to firm and client guidelines
* Respond promptly and professionally to billing inquiries from attorneys and clients
* Maintain client details including rates, addresses, invoice templates, and e-billing information
* Submit invoices via mail, email, and third-party e-billing platforms (E-Billing Hub)
* Assist the e-billing team with matter setup on vendor platforms
* Handle invoice appeals and rejected submissions
* Provide client accruals, status updates, and budgets as needed
Skills and Requirements:
* Associate's degree in business, accounting, or equivalent work experience preferred
* Prior experience in billing or accounting is highly desirable
* Experience in a law firm or professional services environment is a plus
* Proficiency in Microsoft Office, particularly Excel and Word
* Strong organizational and prioritization skills
* Excellent written and verbal communication skills
* Familiarity with electronic billing processes and ProLaw software preferred
