Job Description

Primary Responsibilities:

  • Routinely checks benefits and leave email accounts; answers general questions to forwards emails to appropriate manager within 24-48 hours.
  • Submits required documentation to appropriate programs (PEBA, SCRS, etc…) for new hire enrollment and qualifying events to include supporting documents and following up accordingly; name changes, etc.
  • Approves elections, adds retirement elections to Google Drive to be uploaded each pay period
  • Prepares and mails out all COBRA notifications (initial, changes, terminations) and monthly letters to employees whose children are being terminated from insurance due to age
  • Initiates personnel action entries to update pay codes
  • Meets specified deadlines for new employee enrollments, changes, open enrollments and terminations.
  • Logs all checks received by benefits onto the benefits check log before sending to Accounts Payable
  • Retrieves and distributes all mail
  • Assists with FMLA initial process by determining eligibility; generating reports to ensure minimum requirements are met; sending documentation.
  • Electronically file documents in the appropriate Benefits or Leave files; creates new files
  • Receives, logs and distributes faxes to appropriate manager and files to DocuWare.

Skills & Experience:

  • 1+ years of experience in benefits administration, HR, or a related role.
  • Familiarity with COBRA, FMLA, retirement plans, and employee benefits programs.
  • Experience with HRIS, Microsoft Office (Excel, Outlook, Word), Google Drive, and electronic filing systems.
  • Knowledge of relevant labor laws, benefits compliance, and HR best practices.
  • Takes initiative and follows through on tasks with minimal supervision.
  • Ensures accuracy when processing benefits, updating records, and mailing notifications.
  • Manages multiple responsibilities, tracks deadlines, and maintains documentation systematically.
  • Meets strict deadlines for enrollments, terminations, and changes within designated timeframes.
  • Effectively responds to employee inquiries, forwards emails appropriately, and provides clear instructions.
